Creating an Agenda
Identifying relevant participants who bring subject-matter expertise, diverse perspectives, and innovative thinking is an important process in preparing for a facilitated session. Participants can use the agenda as a guide throughout the session. For facilitators, the agenda is critical – it is the framework that ensures important topics are covered and maintains a clear, focused schedule.
It is important to consider the best approach for creating the agenda and structure for the session. Where possible, co-create the agenda with the participants to promote collaboration and engagement in the effort. Once the agenda is created, circulate it to the attendees in advance of the session, along with any necessary contextual information or prework.
Key components to include in the agenda:
-
- Session Name
- Date, time, and location (or virtual meeting link)
- Facilitation objectives
- Participant list
- Topics to be covered
Key questions to consider when creating the agenda:
-
- What is the title of the session?
- When will the session be conducted – including location, date, and time?
- How much time should be allocated to achieve the session objectives? (Consideration of breaks & reduced duration for virtual sessions may be required)
- Who will be facilitating each component of the session?
- What are the most salient topics that must be included?
- What activities, tools, or resources will help to achieve the session objectives?
- What key milestones or deadlines should be considered?
